The Rockefeller University is a world-renowned center for research and education in biomedical sciences.The Dean's Office oversees educational programs at the University, including the Ph.D. and postdoctoral programs. We are seeking a Graduate and Postdoctoral Program Coordinator to assist with the day-to-day operations and manage administrative aspects of the graduate and postdoctoral programs.


Graduate and Postdoctoral Program Coordinator's Responsibilities include, but are not limited to:

General Office Responsibilities:

  • Greet walk-in visitors to the Dean’s Office and respond to questions

  • Answer calls to the Dean’s Office general telephone number

  • Check and respond to emails sent to the Dean’s Office general email account

  • Conduct inventory, order general office supplies as necessary, and assist with office maintenance (copiers, etc.)

  • Assist with large office purchases and contracts

Graduate Program Coordinator Responsibilities:

  • Assist with processing applications to the Rockefeller Ph.D. program, communicating with applicants, and organizing events for prospective students

  • Participate in graduate student recruitment through conferences and school visits

  • Assess and update the graduate program website

  • Assist graduate students and student organizations with purchases and reimbursements

  • Coordinate the thesis defense process for graduating students

  • Special projects as assigned

Postdoctoral Program Coordinator Responsibilities:

  • Serve as the primary point of contact in the Dean’s Office for the postdoctoral community at Rockefeller. Assist in connecting postdocs with the appropriate RU resources based on their needs

  • Organize and attend regular meetings of the Postdoctoral Advisory Committee (PAC)

  • Assist with the organization of postdoc events, such as the summer seminar series and retreat, including purchases and reimbursements

  • Regularly update the postdoc website with input from the Postdoctoral Association (PDA) and other departments

  • Attend regional and national meetings on postdoctoral affairs (NYC postdoc office meetings, meetings of the National Postdoctoral Association, etc.) to keep informed of postdoc issues

  • Special projects as assigned


A Bachelor's degree, including a minimum of five (5) years of relevant work experience, is required. Experience in an academic or research institution is strongly preferred. Must have excellent interpersonal, written, and oral communication skills. Proficiency with the Microsoft Office Suite and other digital communication platforms is required. Must be able to multi-task and have the discretion to handle confidential student and postdoc information. The ideal candidate must be highly motivated and able to work both independently and as part of a team. Although most work will take place during normal business hours, occasional evening or weekend work will be required, including conference travel.
