Organization Overview
The biology and evolution of viruses and eukaryotes are closely linked. Dr. Paul Bieniasz seeks to define how host genes influence the replication of viruses, with an emphasis on human and primate immunodeficiency viruses. The Laboratory of Retrovirology, led by Dr. Bieniasz, seeks to characterize the host functions that viruses mimic, manipulate, and otherwise exploit, as well as the defenses cells have evolved against viral infection.
Overview
We have a wonderful opportunity for an enthusiastic, self-motivatedAdministrative Assistant to support Dr. Paul Bieniasz at Rockefeller University in New York City.
We are targeting someone who enjoys working both independently and as part of a larger team and proactively anticipating needs. This role is an integral part of the lab and will be responsible for supporting Dr. Bieniasz and the lab with a wide variety of tasks and project activities.
Responsibilities
Monitor both HHMI and Rockefeller budgets for the lab, including reviewing budget reports, preparing budget sheets, and tracking grant spending and lab spending
Manage lab supply and quarterly capital equipment ordering
Handle vendor invoices, review and submit reports, assist with MTA agreements, and handle annual equipment service contracts alongside lab manager
Purchase a variety of software subscriptions for researchers
Assist Dr. Bieniasz with scheduling meetings for talks and lectures
Organize most details of postdoc candidate visits (lodging, expenses, schedule presentations, etc.)
Process new hire paperwork and serve as the lab’s liaison with HR department
Handle reappointments and assist PI with determining salary increases
Handle several aspects of NIH grant submissions and progress reports
Work closely with HHMI on-campus office personnel, procurement team, and other business partners
Prepare annual lab census
Qualifications
A bachelor’s degree is required.
Previous experience as an administrative assistant is required (1-2 years preferred). Previous experience in a research and/or higher education environment is preferred, but not required.
Excellent computer skills, including demonstrated proficiency with Microsoft Office applications.
Excellent oral and written communication skills.
Ability to use good judgment in working independently, showing initiative, managing deadlines, and responding to inquiries.
Familiarity with scientific terminology would be a plus.
NIH grant application process a plus.
